This RFI seeks vendors to provide a web-based intelligent key management system. The system must offer a user-friendly graphical interface for seamless access to software features and display real-time updates on events such as key removals, returns, alarms, and access denials.
Administrators should be able to manage and audit user accounts in real-time from the main server or independent facilities, with controls based on user roles. The system must generate scheduled and on-demand reports—including user summaries, key tag fob summaries, group summaries, user assignments, and log file reports—with export options in multiple formats (CSV, PDF, XLSX). The solution should support ad hoc and automatic report scheduling as required by operational needs.
Additional requirements include configurable email notifications for events and alarms, open protocol communication enabling encryption and integration, and the ability to send alerts for overdue keys to designated devices via email or text. The system must accommodate multiple concurrent administrative users, group settings, and releases. Access to a comprehensive customer support portal is also required for service ticketing, live chat, and knowledge base resources. A pre-bid meeting is scheduled for March 2, 2026.
