(1) Vendor needs to provide web–based comprehensive 1098–T tax form processing and compliance solution. • Agency seeking a qualified vendor to provide a comprehensive solution for the generation, processing, distribution, and regulatory compliance of IRS Form 1098–T for all eligible students. • The 1098–T is the Tuition Statement used by the College to report qualified tuition and related educational expenses to both students and the Internal Revenue Service (IRS). • Solution must support both paper and electronic formats, and ensure full compliance with applicable IRS regulations, while also providing robust reporting capabilities, secure data handling, and responsive customer support to meet the institution’s operational and compliance requirements • Automatically handle corrections and amendments for previously issued forms. • Provide batch processing capabilities to handle large volumes efficiently. • Validate and cleanse data to minimize errors in form generation. • Provide tools for manual data entry and correction when necessary. • Maintain audit trails and logs for compliance review and internal auditing. • SAML (i.e. single–sign on) integration for student access • Enable students to access and download their forms through a secure self–service portal. • Ensure compliance with FERPA, GLBA, and applicable data privacy laws. • Robust and proactive data breach notification procedures • Provide user–friendly documentation and tutorials. • Support export of reports in common formats (CSV, Excel, PDF). • Provide dashboards for real–time monitoring of the 1098–T processing lifecycle. • Collaborate with institutional IT and finance teams for seamless rollout.
