The state of Rhode Island is seeking a vendor to provide a comprehensive districtwide Visitor Badge Management System for all designated school locations. This system will encompass the necessary software, hardware, and associated services to ensure secure and efficient visitor management across the district.

The selected vendor will be responsible for the installation, configuration, integration, and testing of the system, as well as providing staff training. The solution must integrate with existing security and student information systems and offer ongoing technical support, maintenance, and updates throughout the contract term. Core functional requirements include electronic check-in/check-out at each school, on-demand badge printing with visitor photo and information, pre-registration capabilities, driver’s license or ID scanning, and real-time database checks against national sex offender registries. The system should also support integration with staff directories and student databases, visitor arrival notifications to school staff, and customizable visitor types.

Technically, a cloud-based or hybrid solution is preferred, with secure data encryption, user authentication, and compatibility with Windows and macOS systems. Administrative staff will require web-based dashboards for real-time data access to support effective monitoring and reporting.
