An organization is seeking a vendor to provide a cloud-based timekeeping system delivered as Software as a Service (SaaS). The proposed solution must offer secure, role-based access functionality for administrators, supervisors, and employees. It should be capable of supporting various employee categories, including full-time, part-time, adjunct faculty, student workers, and temporary staff. The system is required to accurately associate time entries with respective positions, departments, pay types, and Banner labor distribution elements.
The timekeeping system must be configurable to accommodate distinct rules for time entry, overtime, leave accruals, and reporting, ensuring compliance with both union contract requirements and non-union policies. Configurability for updates as agreements change is essential. Additionally, the solution should provide mobile access for both iOS and Android platforms to facilitate time entry and approvals, as well as robust web-based and kiosk-based capture options. All kiosk interfaces must function as thin clients or browser-based terminals.
Web-based interfaces must meet WCAG 2.1 Level AA accessibility standards or higher. The system should automate calculations for leave and overtime accruals and ensure compliance with all relevant federal, state, and union labor regulations. The anticipated contract period for this solution is three years.
