The issuing organization seeks a qualified vendor to provide third party administrator services for a broad portfolio of claims. The selected provider will manage general liability, workers’ compensation, first party property, auto, employment practices, public officials liability, and general liability claims under the property managers’ insurance program. The engagement includes end-to-end claims administration, timely processing of claims and payments, and oversight of incidents, expenses, and claim-related disbursements.

The provider will be responsible for configuring account hierarchy and claim coding within a web-based Risk Management Information System, maintaining accurate and current claims data, and auditing coding on open and closed claims from the past five years to ensure data integrity. The service scope also includes developing and annually updating client service instructions, transferring historical claims data without loss of information, and providing real-time access to claim data, point-in-time valuation tools, comparative analysis reporting, financial summaries, statistical analysis, and ad hoc reports.

The selected firm must also provide 24-hour service support, including adjuster availability by phone or onsite for emergency or catastrophic claims. A catastrophic response plan with surge staffing and a dedicated liaison is required. The administrator will be accountable for errors or omissions that result in penalties, judgments, or increased costs.
