Florida agency seeks a SaaS-based special events management software with extensive features, mobile access, and project management services.
(1) Vendor needs to provide special events management software. • An enterprise commercial–off–the–shelf software with substantial functionality with minimal development, modifications, or enhancements to the software package. The solution will be sufficiently configurable with minimal customizations. • The proposed solution will be extendable to other Departments throughout the agency so that the agency has a consistent unified enterprise solution for managing special events throughout the agency where the need arises. • The preferred system will be web–based utilizing no, or very limited number of browser plug–ins or additional software besides a web browser (e.g. Java) on agency desktops and have a mobile application for use on iOS devices. • The agency requires a hosted solution, and proposers must propose a Software as a Service (SaaS) model. • The proposed solution will include an appropriate testing environment for implementation use and ongoing maintenance after the system is implemented. • The Successful Proposer will provide project management professional services necessary to implement the proposed solution. • Have a master calendar view with filtering and sorting capabilities • Have a master calendar capable of distinguishing between load in, event, and load out • Invoice for staffing hourly and flat fees including on–the–fly changes • Copy complete or portions of events from year to year • Create individual dashboards for each user or user group • Include mobile access to view documents either through an app or browser on iOS and Android devices • Allow admin access to update, add, or remove items • Create and execute workflows with checklists or task lists • Create and execute workflows based on specific criteria • Book multiple spaces under one event • Have interactive mapping capabilities to plan event layout • Update status of application throughout permitting process (2) All the questions must be submitted no later than January 5, 2026.
