The Town of Youngsville, NC is seeking a contractor to provide comprehensive downtown special events services. The selected vendor will be responsible for organizing and executing up to five special events per contract term, ensuring that events are scheduled no more than once a month and at least quarterly. This includes handling all aspects of event logistics and day-of operations, as well as applying for appropriate special event permits in compliance with relevant policies and ordinances.
The contractor will also be expected to participate in quarterly meetings with the Youngsville Downtown Merchants, develop marketing materials such as digital flyers and event maps, and manage vendor fee collection and utilization. Post-event responsibilities include submitting an After-Action Review within 45 days of each event, detailing budget reconciliation, attached receipts, and stakeholder feedback. Following approval by the Board of Commissioners, the selected party will enter into a contractual agreement with the Town; however, this agreement does not constitute employment with the Town or eligibility for municipal benefits.
