Special Event Management Services

The issuing agency is seeking a vendor to provide special event management services for a two-year contract period. The selected vendor will support recreation event vendor recruitment, programming, and overall event management for plaza operations and a range of large- and small-scale events, including groundbreakings, ribbon cuttings, and other public special events.

Scope of work includes managing, supporting, and coordinating event operations; recruiting, coordinating, and managing food, retail, entertainment, and other event-related vendors or individuals; and organizing entertainment and special event programming for both small and large events as needed. The vendor will also be responsible for presenting and coordinating community-focused events and strategies, with emphasis on local, small, and community-based businesses, vendors, and entertainers wherever possible.

Additional responsibilities include coordination and management of sponsorships and strategic marketing alliances to support special events and event sites, as well as staffing and coordinating presentations in small- to medium-sized event spaces and public event venues. Agency-supported events may include the Easter Fun Festival, Fall Festival, Scare Festival, and Park Bandshell programming occurring between October 17, 2026 and April 1, 2028. Questions are due by August 19, 2026.
