The selected vendor will provide a comprehensive social media archiving service to ensure authentic capture, storage, and accessibility of all communications across the organization's social media sites. This includes robust data capture directly from social networks' APIs with all associated metadata, offering legally defensible records complete with digital signatures on each entry to verify integrity.
The solution must feature advanced records management, searchable databases, export options to static formats, and user-friendly interfaces for access and oversight. Departments and individual users must be able to retrieve and manage their own record sets independently, particularly in legal discovery or records request scenarios. The system should allow accurate reproduction and replay of social media content, including high-resolution images, videos, and dynamic conversation threads.
Additionally, the service should support moderation alerts, public access capabilities, and in-depth quantitative and analytical reporting for improved internal processes and citizen engagement metrics. The contract period is two years, with pre-bid questions due by March 27, 2026.
Best-fit vendors:
• Specialist in social media archiving technologies
• Experience with large-scale government or enterprise record management
• Proven expertise in developing legally compliant digital archiving solutions
• Ability to provide robust search, export, and reporting tools
• Demonstrated capacity to support multi-departmental organizations
