Vendor needs to provide records management and security management system. The new software solution must facilitate real–time entry, provide comprehensive change tracking for all documentation, and offer the ability to generate reports based on specific data fields. Real time documentation and tracking of site security activities and incidents: through a software platform. Implementation & Integration: Configure and integrate the software with existing systems and workflows. Training: Provide comprehensive training for all end–users (security personnel and administrators). Data Migration: Migrate existing relevant data into the new system to ensure continuity of records. Support & Maintenance: Establish ongoing support and maintenance procedures for the new software platform. Minimum Capabilities: Unit management - The system must be capable of tracking and managing the status and activities of various security units; Record/Form creation - The software must allow for the creation of standardized, user–friendly digital forms for consistent data entry; Communication between CMS, units and external/internal responders - The system needs to facilitate seamless communication and data sharing between the central management system (CMS), field units, and relevant external/internal emergency responders; Reduction in user error by having standardized fields to fill while taking calls for service - Standardized fields and data validation logic must be incorporated to minimize data entry errors and improve data quality; Searchable centralized log for all LP site safety activities - All documentation must be stored in a centralized, searchable database to allow for easy retrieval of historical data and trend analysis; Reporting and Analytics - The software must be able to generate a variety of reports (e.g., incident summaries, activity logs, trend reports) for management review and compliance purposes.
