The State of California is seeking information from vendors regarding the development of a caseload tracking tool for use in Reception Centers. This tool should facilitate the tracking of cases throughout all phases of Reception Center processing. Key functionalities include the automatic assignment of cases to Correctional Counselors upon the arrival of Incarcerated Persons at each institution, as well as delivery of real-time alerts to counselors about status changes of their assigned cases.

The tool must be capable of tracking the length of stay for each individual, calculating detailed statistics for Correctional Counselors over various timeframes such as daily, weekly, monthly, and yearly, and providing tracking data for individuals in a range of housing categories, including designated and restricted housing units. Managerial oversight functions are also required, including the ability to monitor case statuses and generate a variety of reports at specific points in time. The interface should be user-friendly, with accessible tools for sorting and exporting data, and support ongoing maintenance and updates based on staff feedback.

Intended users will include approximately 60 staff members per Reception Center institution, totaling about 180 users. Vendors are encouraged to share information about solutions that meet these requirements and to submit any questions by the provided deadline.
