The vendor will be responsible for ensuring a smooth transition from the existing system, with minimal disruption to operations during deployment and release.

The new application must provide comprehensive data tracking for courses, sections, learners, and instructors. Features should include versioned course outlines, syllabi, change history, effective-date management, prerequisite equivalencies, and automated alerts for expiring content or instructor credentials. Built-in marketing capabilities are required, such as campaign pages, promo codes, featured listings, waitlist nurtures, email and social sharing, and tools for tracking and exporting campaign performance metrics. The platform should offer a modern, user-friendly interface with intuitive navigation.

Vendors are expected to provide validated data migration services, including field mapping, transformation rules, test loads, reconciliation reports, and both trial and final cutover cycles. Acceptance criteria must be in place to ensure accuracy in record counts, referential integrity, and key business reports. The platform should support automated waitlists, cancellation workflows, bulk actions for enrollments, grade posting, and certificate issuance, as well as preview, validation, and error reporting functionalities. Additional requirements include comprehensive search and filtering across catalogs, people, and organizations, and robust reporting capabilities such as course and instructor performance reports, financial dashboards, and vendor-specific reports. The initial contract is set for a period of one year.
