Recreational Programming Services

• Provide year-round recreational programming services at City community centers, parks, and facilities.
• Develop and deliver diverse recreational programs for participants ranging from infants to adults, at beginner, intermediate, and advanced levels.
• Prepare and submit reports, schedules, and lesson plans in a timely fashion.
• Develop and submit a pricing model for offered programming.
• Assist the City in marketing offered programs.
• Conduct all programming in a safe and professional manner.
• Develop a schedule of recreational programs divided into three 8-week sessions (Winter, Spring/Summer, Fall), planned six months in advance.
• Offer programming between 8:00 a.m. and 8:00 p.m., Monday through Saturday, and work closely with City recreation staff on scheduling.
• Provide qualified staff/instructors who are at least 18 years old, CPR/First Aid certified (where applicable), have completed and cleared a fingerprint check by the Department of Justice, and meet City's child protection and supervision standards.
• Demonstrate ability to deliver appealing, cost-effective programs that align with City goals and ensure positive revenue generation.
• Demonstrate excellent customer service, utilize feedback, and provide accommodations for customers with special needs.
• Demonstrate experience in producing clear, well-organized documents including schedules, attendance reports, and lesson plans.
• Submit a cover letter signed by an authorized representative.
• Provide a company profile including mailing address, years in business, total current number of employees, previous names, affiliations, anticipated ownership changes, history, mission, structure, capacity, resources, pending/current litigation, and terminated contracts.
• Provide a detailed narrative demonstrating expertise, capacity, experience, and approach to performing the services.
• Include professional and education backgrounds, and résumés for all key staff.
• Provide detailed discussions on three similar projects, including services provided, customer information, project duration and cost, key goals achieved, key personnel, and customer contact information.
• Discuss the project approach, including program development, age groups, special needs, sample programs, use of trends and data, marketing efforts, and programming at the proposer's facility.
• Provide a sample price list for all programming categories, including registration and any other course or supply fees.
• Discuss the level of involvement or assistance required from City staff.
• Provide the proposed revenue split with the City using Attachment B, and include any other potential program-related or equipment fees.
• Submit Attachment B (Revenue Split Proposal), Attachment C (Relevant Project Summary Form), Attachment D (Proposer Certification Form), and Attachment G (Exemplar Agreement) noting any exceptions.
• Obtain and maintain all insurance requirements outlined in Attachment F.
• Provide the Certificate of Insurance to the City within 10 days of the notice of award.
