Prospective vendors are expected to present technology platforms that automate invoice capture and data extraction using AI, offer robust support channels—including 24/7 incident reporting, business-hours advisory scheduling, and support via email, web portal, and phone—and facilitate each stage of the invoice processing workflow.

The desired solution must support automated invoice matching, including two-way matching with configurable thresholds, as well as traditional three-way matching where available. The platform should enable invoice submission and processing, matching invoices to purchase orders and receipts, and accepting invoices in both CAD and USD. Comprehensive audit features, such as timestamping, tracking user activity, and maintaining a change history on receivables, are required. Additionally, the software should facilitate mobile and field-based receiving functions to ensure timely and accurate recording of goods and services.

Vendors should detail their approach to data migration, including data cleansing and cutover planning, and provide favorable service level agreement turnaround times for ongoing support. A strong knowledge base consisting of online tutorials, FAQs, how-to guides, and role-based learning paths is also expected in the solution.
