Summary:

Seeking vendor to replace and upgrade the current POS system for in-store and online sales, including hardware, payment processing, and reporting in Colorado.

(1) Vendor needs to provide point of sale replacement project service.– To replace the current square–based point of sale (POS) system with a more robust and scalable solution that meets operational needs across physical sales outlets, the agency web store, and back–office processing.– Replacement of the existing square–based POS system across all agency physical sales outlets and web store.– In–store and online sales processing for fare and non–fare products, including monthly passes, eco passes, ticket and books, and branded merchandise.– Multi–channel payment processing including credit and debit cards, checks, cash, vouchers, and employer–issued transportation benefit cards.– Invoicing and contract management functionality, including invoice templates, attachments, due dates, customer views, download options, and payment reminders.– Support for offline transaction processing at POS terminals, with automatic upload upon internet reconnection notification of connectivity events.– Real–time reporting and reconciliation, including detailed audit trails by user, transaction, and location.– Inventory control for fare media, eco pass cards, and non–fare items.– Web store functionalities to include scheduling, SKUs, order management, shipping logistics, and tax configuration.– Support for refunds, exchanges, and coupon processing, including partial refunds and audit tracking.– Implementation of role–based access, data encryption, PCI compliance, and externalized security and network controls.– Full documentation of functional and technical requirements, testing, and user training.– Deployment of vendor–provided proprietary hardware packages (if applicable), including terminals, customer displays, receipt printers, and card readers, compatible with the vendor's platform.(2) A non–mandatory pre–bid meeting will be held on November 18, 2025.(3) The contract period will be for one year. (4) All the questions must be submitted no later than November 25, 2025.
