A healthcare agency in Texas is seeking qualified vendors to provide optional newborn photography services to families in hospital settings. The primary goal is to offer professional photographic keepsakes while maintaining strict adherence to patient privacy, infection control protocols, and a consistently high-quality patient experience.
The vendor must ensure service coverage and availability seven days a week, including weekends and holidays, within normal business hours (7 AM to 5 PM). On-call options are required for bereavement cases, and one photographer must be present on-site for each shift. Vendors are responsible for maintaining and updating weekly staffing schedules. If staff is unavailable during business hours, the maximum acceptable delay for coverage is two hours.
Photographers are expected to follow all nursing staff instructions regarding the timing of photography and may only approach families who have not opted out, ensuring interaction occurs with nursing approval. Prior to any photography, written parental consent must be obtained, and no images may include other patients, staff, or protected health information in the background. Services are provided only when both mother and infant have been medically cleared. For bereavement photography, such as in cases of fatal demise or neonatal loss, staff assigned must be trained in trauma-sensitive care.
