Summary:
Oregon seeks a vendor to replace its museum collections management system with a browser-based, public-facing, and robustly integrated solution.
(1) Vendor needs to provide museum database system replacement services. – Provide and implement a new browser–based museum collections management system to replace its existing platform, Mimsy XG, which will no longer be supported after December 30, 2026. – Approximate record totals include: • 155,000 media records (comprising 145,000 image and video records, and 10,000 documents and other media types) • 50,000 object records • 17,000 People/Artist records • 10,000 Acquisition records • 6,100 Condition records • 5,500 Event records • 3,200 Publication records • 2,100 Loan records – Provide, deploy, and (if hosted externally) maintain a public–facing web interface that allows the public to search, view, and interact with selected collections data, including object, artist, provenance, exhibition, and document records; and integrate with other University and museum systems as needed – Be a browser–based, cloud–hosted, or hybrid solution – Support robust reporting and data analysis with advanced and flexible query functionality, including support for complex multi–table queries; provide configurable report generation tools; and allow export of both data and formatted reports to standard formats including CSV, XML, XLSX, DOCX, and PDF – Have functionality for tracking artworks, artists, exhibitions, loans, conservation, events, donors, research, conservation, locations, documents, valuation, acquisitions, deaccessions, publications, images and media, and related museum activities. (2) A pre–proposal meeting will be held on December 11,2025. (3) All question must be submitted no later than December 15, 2025.
