The State of Oregon is seeking a qualified vendor to provide services for the replacement of its current museum collections management system, Mimsy XG, which will be unsupported after December 30, 2026. The new solution must be a modern, browser-based platform that is either cloud-hosted or implemented as a hybrid system.
The platform should be capable of managing a large and diverse dataset, including approximately 155,000 media records, 50,000 object records, 17,000 people/artist records, and numerous acquisition, condition, event, publication, and loan records. Additionally, the system must offer a public-facing web interface, enabling users to search, view, and interact with selected museum collections data such as object, artist, provenance, exhibition, and document records. Integration with other University and museum systems is required.
Key functionalities include robust reporting and advanced query capabilities, configurable report generation tools, and support for data export in formats such as CSV, XML, XLSX, DOCX, and PDF. The solution should facilitate comprehensive tracking and management of artworks, artists, exhibitions, loans, conservation activities, donors, research, locations, documents, valuations, acquisitions, deaccessions, publications, images, media, and related museum operations.
