Maryland is seeking a qualified vendor to provide, configure, and implement a comprehensive meeting management system. The new system must be efficient, modern, and robust, supporting core functionalities including the creation of meeting agendas and packets, recording and tracking meeting minutes, and managing meeting bodies and their members.

A critical requirement is the provision of a public-facing web portal, allowing real-time public access to ongoing meeting activities and serving as an archive for past meetings. The system must support live video streaming, with capability to broadcast meetings via platforms such as YouTube, Facebook, and X, using a 1080p HD–SDI video feed with embedded audio. Archival of media—spanning approximately 65 GB of PDF documents, 65 GB of audio files, and 1.1 TB of video files from the past 26 years—must be seamlessly supported.

The selected vendor will be responsible for managing the project, including installation, configuration, data conversion, and provision of any required hardware. Additional requirements include the secure storage and conversion of various meeting materials to PDF format and comprehensive archival features.
