Medical Coding Services for VA Northeast Ohio Healthcare System

The Department of Veterans Affairs issued a sources sought notice to identify qualified providers of medical coding services for the VA Northeast Ohio Healthcare System. This notice is for market research purposes only and is not a solicitation or request for proposals. The Government is seeking information on potential vendors and their business size classifications in relation to NAICS Code 541511.

The contemplated requirement involves providing medical coding services through a qualified and credentialed Medical Records Technician under the VHA Health Information Management Coding Program. The anticipated contract structure is a base year with one-year option periods, with the base performance period identified as November 1, 2026 through October 31, 2027. The notice also states that the vendor must provide a service and maintenance agreement covering adjustments, repairs, replacement of malfunctioning equipment, response to service calls, and startup and training for VA staff.

Interested firms are asked to submit a capability statement, three customer references for similar services, and company information including business size and socioeconomic status. Vendors should also indicate whether the service is available through a GSA schedule, whether the company will perform directly or through teaming or subcontracting arrangements, and whether the firm is registered in the System for Award Management. Responses must be submitted in writing by email, and telephone responses will not be accepted.
