Media content will be monitored using specific keyword topics, checked for relevance, and delivered as clippings to the communications team in a timely manner. Broadcast clippings should be delivered daily and vendors are asked to indicate if transcription to text is an option. Press clippings from regional, national, and UK publications must be provided by email before 07:00am on the date of publication, including afternoon and teatime briefings.

The scope requires monitoring of national, regional, and local print outlets; hosting monitoring content on a website, dashboard, or portal accessible by the IPS communications team; and inclusion of online articles behind paywalls without login requirements. Real-time broadcast alerts are expected, with full broadcasts provided only for significant events. Broadcast and sound clippings should be supplied in a suitable streaming format, such as mp3 or mp4. The ability to create custom reports and the secure storage of all media coverage for access and review are required.

Questions regarding the RFP must be submitted by March 9, 2026. The contract period is one year.
