A Utah agency is seeking a comprehensive Contract Lifecycle Management (CLM) software solution to modernize and streamline contract administration processes across its research units and related offices. The agency aims to centralize contract intake, workflow, review, approval, execution, storage, and reporting, replacing various legacy tools and informal methods currently in use. This initiative focuses on improving compliance, reducing operational risk, increasing transparency, and consolidating systems to minimize administrative burdens.
The desired CLM system must feature robust, scalable, and integrated capabilities that efficiently manage contracts throughout their entire lifecycle, from creation and negotiation to approval, execution, obligation tracking, amendments, renewals, and closeout. Required functionalities include full-text and faceted search, configurable role-based dashboards, and data-driven views and queues for tracking key performance indicators. The system should support both multi-tenant and single-tenant SaaS deployment models and provide configurable support tiers, SLAs, and premium options.
Integration is essential, with expected support for APIs and webhooks to connect with ERP, e-signature, CRM, procurement, IRB/COI, CTMS, eReg, PRMC, and data warehouse systems. Additionally, bulk data import/export tools will be necessary for onboarding legacy records and generating comprehensive reports and archives.
