A public agency is seeking a qualified vendor to provide and implement software for tracking Certificates of Insurance (COIs). The solution may consist of a dedicated insurance certificate tracking system or an ERP module with this capability. The selected software must accommodate up to three user licenses and allow for the upload of the agency’s existing Excel-based tracker to facilitate initial onboarding.

Key requirements include the configuration of contractor profiles and related insurance requirements, automated monitoring of COI expiration dates, and automated notifications to contractors and designated agency staff prior to expiration. The system must feature robust security and access controls aligned with procurement and compliance needs, and ensure compliance with all applicable insurance, contractual, and regulatory standards. A pre-bid meeting for interested vendors is scheduled for February 24, 2026.
