(1) Vendor needs to provide ImageSilo enterprise content management system.– Agency seek Value Added Resellers of the ImageSilo Enterprise Content Management (“ECM”) system for the successful continuity of the Agencies’ current records system.– The Contractor will be required to work in concert with the preferred source agency selected by the Agencies to scan and digitize the Agencies’ records.• Reseller must ensure the following functionalities and services are included– Storage based fee structure, based on GB of storage used– Regulatory Compliance: The solution must comply with standards such as NIST, ISO 27001, FISMA and New York State Archives guidelines– Data Security: Provide robust security measures, including data encryption, identity management, and disaster recovery plans– Retention and Disposal: Support automated retention scheduling and secure disposal of records in compliance with regulatory requirements– Search and Retrieval: Enable advanced search capabilities, including full–text search and metadata filtering.– Disaster Recovery: A disaster recovery plan must be in place and must be tested upon the Agencies’ request.– A recovery time Service Level Agreement (SLA) is required by the Agencies to protect against any unforeseen outages(2) All the questions must be submitted no later than December 18, 2025(3) Intent to Submit Proposal due no later than December 23, 2025(4) The contract period will be for five years.
