DESCRIPTION

The agency is seeking an event planning vendor to plan, coordinate, and deliver two horticultural conferences and one tradeshow scheduled for January and February 2027 in British Columbia, Canada. The selected proponent will work collaboratively with the agency to manage the full range of event planning and delivery activities.

Scope of work includes preparing and submitting a workplan and progress updates for each event, managing event logistics, and providing on-site support during each conference. The vendor will also be responsible for coordinating communications with pre-confirmed speakers, including sharing logistical information and supporting their participation.

Additional responsibilities include conference promotion, preparation of online and printed programs, registration management, catering coordination, sponsorship development and administration, tradeshow coordination and delivery, and post-event feedback and project wrap-up.
