(1) Vendor needs to provide Freedom of Information Act (FOIA) software.– Provide a fully hosted Freedom of Information Act (FOIA) software system that includes, at minimum, the following functionality: • Request Intake and Tracking • Public–facing online request portal integrated with the agency website. • Automated assignment of unique tracking numbers for all requests. • Status updates and notifications to requestors. • Internal dashboards for lifecycle tracking. • Case Management • Tools for routing requests to departments and assigning tasks to staff. • Internal communication and collaboration features. • Automated deadline tracking with alerts for statutory timelines. • Document Management & Redaction • Secure upload, storage, and indexing of responsive documents. • Redaction tools for text, metadata, and images. • Version control and batch processing. • Compliance & Reporting • Automated time tracking for statutory deadlines. • Standard and customizable reports (e.g., request volume, response times, departmental breakdowns). • Security • Cloud–based SaaS deployment preferred. • Role–based access control and audit logs. • Integrations (Preferred) • Microsoft Outlook / Exchange email integration.
