The organization seeks a vendor to provide facility management and maintenance software that supports comprehensive asset tracking and lifecycle management. The system must facilitate acquisition, depreciation, condition assessment, and replacement planning of physical assets, while helping to manage risk and performance efficiently.
Key requirements include robust scheduling, inspection tracking, and documentation of routine and preventative maintenance activities to ensure optimal facility performance and compliance with regulations. The software should monitor and manage vehicle maintenance schedules—including inspections, repairs, fuel usage, and lifecycle costs—and offer oversight of fleet assets with real-time visibility, availability, and usage tracking. Inventory control functionalities should cover stock level monitoring, automated replenishment, usage tracking, and warehouse management.
Additional features should include workflows for receiving, logging, and evaluating maintenance requests based on urgency and resource availability, as well as capabilities for the creation, assignment, and tracking of work orders. Dashboard reporting, operational transparency, and strategic decision-making tools are essential. The project scope includes a structured implementation plan encompassing project planning, system configuration, data migration and validation, integration, training, change management, pilot testing, phased rollout, post-implementation support, and system optimization.
The contract period will be for one year. Questions must be submitted by April 30, 2026, and a pre-bid meeting is scheduled for April 8, 2026.
