The selected vendor will provide executive production and event management services for a high-profile ceremony, overseeing all creative and technical components of the event and associated performances. The provider will act as the central point of contact under the direction of council district 6, coordinating efforts among vendors, media entities, city departments, and other operational partners to maintain a unified operational framework.

Responsibilities include producing ceremonial audio for welcoming remarks and councilmember speeches, establishing redundancy systems to ensure seamless audio support, and integrating technically with a separate media partner. The producer must supply clean audio feeds, protect camera sightlines, and develop a joint run-of-show to align with broadcast requirements. In addition, the vendor is responsible for logistical operations such as managing equipment load-in, power distribution, waste management, and strike schedules.

The contract term is three years, with a pre-bid meeting scheduled for March 20, 2026. All questions regarding the RFP must be submitted by March 27, 2026.
