(1) Vendor needs to provide events and travel management company service for events and workshops in Africa. • Provide the following travel booking and management services on behalf of partners: • Provide cost savings and value for money for all travel, accommodation and C40 events bookings, including discount group fares, capped costs, volume discounts, etc • Source and book appropriate flights and rail options based on guests and delegates’ preferences, ensuring compliance with C40 Travel Policy which will include budget guidelines. • Facilitate the issuance and re–issuance of travel tickets, itineraries, and necessary travel documents, while also managing cancellations and changes to travel. • Establish a 24/7 emergency contact line for delegates to address urgent travel–related issues. • Hotel venue sourcing to suit each event, to cover the full range from large milestone events or smaller workshops. • To provide clear and comprehensive guidance on visa requirements, documentation, and application procedures, ensuring delegates have the necessary information for a successful application. • Provide tailored, VIP executive options at times when required by teams to accommodate high–profile guests and delegates at some events. • Audio–visual and event production services: Procure, set up, and operate all necessary AV equipment for in–person and hybrid meetings and events, including screens, staging, sound systems, microphones, and lighting. • Branding and signage: Implement branding and signage to enhance each meeting and event's identity and create a professional atmosphere. • Interpretation services: Arrange for professional interpretation and translation services as needed.
