Summary:
Seeking vendor for operational support services for large-scale events and experiences in New York, including logistics, infrastructure, and stakeholder coordination.
(1) Vendor needs to provide events and experiences operational support service.– Address crowd flow, ingress and egress of the venue, capacity goals, emergency access requirements, and ensure the location, quantities, and code compliance of temporary facilities meets the needs of the expected crowd in each location and provides a seamless guest experience.– This scope includes but is not limited to parking & transportation, entry operations, racing operations, security, temporary infrastructure, hospitality, broadcast operations, media operations, sponsorship activations, wayfinding, merchandise, food and beverage.– Developing and managing a detailed installation plan, including labor requirements, insurance, and union compliance.– Assisting in the design of a robust temporary wayfinding plan.– Overseeing the on–site delivery and installation of all temporary infrastructure.• Collaborate with stakeholders to finalize the occupancy and temporary infrastructure strategy• Research and compile a list of qualified suppliers.• Develop a preliminary temporary infrastructure budget and refine it as design evolves.• Create a draft procurement and installation timeline.• Manage and maintain a list of qualified firms and suppliers for competitive bidding.– Develop concepts for events utilizing the infield and/or the full site (including, but not limited to, major music festivals, sporting events, and car shows)(2) All the questions must be submitted no later than December 22, 2025.(3) The contract period will be for three years.
