Vendor needs to provide event production contractor services to provide turnkey commencement production services for the class of 2026. Commencement is the university’s largest and most visible annual event and requires a partner capable of delivering consistent, broadcast–quality production across multiple ceremonies in a complex outdoor environment. 1. Production systems and infrastructure: Main stage consisting of a professional–grade steel deck stage, approximately eighty feet by twenty feet, at a consistent height of four feet. Integrated orchestra pit or side stage located stage left or stage right, designed to accommodate approximately eighteen musicians with instruments. Two outdoor–rated high–resolution LED video walls, minimum twenty–three feet by fourteen feet each, positioned flanking the main stage. Systems shall support seamless switching and simultaneous display of pre–produced video content, motion graphics, and live multi–camera feeds with broadcast–quality clarity. 2. Production communications: Multi–channel two–way communication system, wireless and wired as required, supporting stage management, production crew, and University representatives. 3. Power and lighting systems: Primary ultra–quiet tier four final generators or inverter systems providing all normal event power. Complete power distribution system, including cabling, disconnects, load centers, spider boxes, and ADA–compliant cable ramps. 4. Staffing: Executive in charge, Project manager, Stage manager, Run of show manager, Technical director, Video director, Camera operators, Licensed electricians and power technicians, Audio technicians.
