(1) Vendor needs to provide event planning firms to provide full–service planning, coordination, and execution of a ground–breaking ceremony– The selected event planner will provide comprehensive event management services from initial concept through post–event breakdown– Pre–Event Planning: • Develop a detailed event plan, master timeline, and production schedule • Conduct site visits to assess layout, logistics, and infrastructure needs • Coordinate with internal stakeholders, executive leadership, and dignitary representatives • Source, contract, and manage all vendors • Develop contingency plans for weather, transportation, safety, and emergency response– Program Development • Assist with program development, run–of–show, and speaking order • Coordinate audio/visual requirements including podiums, microphones, and sound • Support scripting, cue sheets, stage management, and speaker coordination– Power & Technical Requirements • Provide temporary power generation sufficient for:– Audio/visual equipment– Lighting– Stage power– Vendor needs • Ensure all power distribution is safe, code–compliant, and monitored by qualified technicians.
