A comprehensive, enterprise-level event and meeting management platform is required to support the end-to-end lifecycle of in-person, virtual, and hybrid events and meetings. The solution should offer integrated features such as event website creation, registration and ticketing, abstract and speaker management, attendee communications, meeting and room management, a mobile app for virtual event delivery, on-site check-in and badge printing, surveys and evaluations, engagement tools, and robust reporting and analytics. QR code scanning and attendance tracking must be enabled.

The platform must provide centralized meeting management functionality, including space and resource scheduling, room inventory management, capacity controls, and visibility into meeting utilization across the organization. It should support both public-facing and internal, role-based accessible event calendars. Centralized management of multiple events, role-based user access, configurable workflows, and real-time dashboards are required. Branded website and registration page templates must be configurable.

The contract period will be three years. Questions regarding the RFP must be submitted by March 13, 2026.
