A qualified event coordination and creative production company based in Armenia is sought to deliver full-service event management for the Public Sector Innovation Forum III. The selected vendor will be responsible for the comprehensive planning, design, and seamless execution of the Forum’s multi-stage program, covering operational components such as technical systems, hospitality management, visitor flow, branding, staging, and on-site logistics. In addition, the company will play a key role in developing and implementing creative concepts, experiential design, and stage identity that align with the Forum’s thematic focus on adaptive governance and livelihood transformation.

The scope of responsibilities includes finalizing technical specifications and overseeing all aspects of technical production, including audiovisual systems, LED screens, microphones, projectors, interpretation booths, and coordinating internet infrastructure. The contractor will produce detailed operational documents such as stage plots, master run-of-show plans, and session flow charts tailored to various event formats. Coordination with service providers for hospitality and catering is also required, encompassing menu planning, dietary preference tracking via the registration platform, participant headcount confirmation, preparation of event orders, and management of food and beverage services for approximately 500 attendees.

Additionally, the contractor will provide protocol arrangements for high-level guests, oversee the installation of branding and visibility materials, manage the complete build-out of the Forum environment, and coordinate comprehensive photo and video coverage in partnership with relevant vendors. The ideal candidate will demonstrate significant expertise in event production, technical management, branding, and hospitality coordination for complex, large-scale public sector forums.
