Vendor needs to provide event coordination and creative production services. – Event Coordination Company to design, organize, produce, and deliver all operational and creative components. – The company will be responsible for ensuring seamless execution of the Forum’s multi–stage program, technical systems, hospitality, visitor flow, branding, staging, and on–site operations, while also contributing to the development of creative concepts, experiential design, and stage identity in alignment with the Forum’s thematic direction. – The selected company will be responsible for developing a comprehensive creative and experiential concept for the Public Sector Innovation Forum III, ensuring that the overall atmosphere, visual identity, stage experiences, and spatial storytelling align with the Festival’s thematic framing on adaptive governance and livelihood transformation. – The contractor will be responsible for the complete technical production of the Forum. This includes Finalization of the initial and refined technical specification for audiovisual systems, LED screens, microphones, projectors, interpretation booths, power plans, and coordinate internet systems with vendor. – Contractor will produce detailed room–by–room stage plots, master run–of–show documents, and session flow charts tailored to each stage format (keynotes, high–level panels, fishbowls, workshops, creative zone activities). – The contractor will coordinate with vendors all catering and hospitality services during the Forum. This includes designing the menu tasting plan, developing dietary data capture mechanisms through the registration platform, confirming headcounts, preparing BEOs, and coordinating with the catering provider to deliver an all–day refreshed coffee zone and a standing lunch for approximately 500 participants, consistent with the Forum’s festival–style atmosphere. – The contractor will coordinate protocol arrangements for high–level participants, ensuring adherence to formal requirements, including arrival sequencing, seating plans, stage–level protocol, photography positioning, backstage arrangements, and VIP handling. – The contractor will organize publishing and install all branding and visibility materials required for the Forum. – The contractor will oversee the complete build of the Forum environment. – The contractor will be responsible for coordination of complete photo and video coverage of the event with corresponding vendors.
