(1) Vendor needs to provide rent an electronic voting and speaker management system for use at its 252–member representative Town Meeting where each member is a potential voter.– The System should allow simultaneous voting in the satellite room.– The Town requires onsite, vendor–supplied personnel to take primary responsibility for operation of the System during the covered Town Meeting sessions.- Clear to members (in person in the auditorium or satellite room and remote if a decision is made to hold a virtual or hybrid Town Meeting) when voting is open- Voting interface should confirm vote choice to the member- Votes can be changed while voting is open- Vote total can be programmed to display quantum of vote and calculate and display pass/fail tallies and percentages- Accommodate unanticipated motions without significant delay- Integrates in–person and remote voting results of a hybrid meeting into a single unified voting record- Create a secure, permanent electronic voting record of all votes, captured by individual member and available to Town Staff as an Excel or .CSV file.– Content Management- During voting, members should see a countdown clock on the main display- Votes are recorded by individual members and can be displayed on the public screen if requested- Display request to speak lists- Video output to Town/ACMi provided video switcher for integration with ACMi broadcast and possible Zoom session for remote participation– Speaker Management- Simple to make a request to speak- When a member wishes to remove themself from the speaker queue, they will confirm the request rather than simply pushing the same button- Device allows members to clarify the type of request (pro, con, point of order, etc.)- Ability to display multiple lists to the Moderator and on a public screen in the hall(2) A pre–proposal conference will be held on February 13, 2026.(3) All question must be submitted no later than February 17, 2026.
