(1) Vendor needs to provide electronic document and records management solution– Functional Capabilities:– Document management features (version control, check– in/check–out, metadata tagging)– Records management (retention scheduling, disposition, audit trails)– Trigger–based retention capabilities– Search and retrieval capabilities (including OCR and full– text search)– File naming restrictions, if any– Workflow automation and approval processes– Additional integration capabilities (e.g., Microsoft 365, Teams, Outlook, GIS, City view, Citywide, etc.)– Security and access permissions management– Case studies including all user perspectives or references from similar municipalities– Product brochures or white papers (as appendices)– Roadmap for future development of the solution(2) All the questions must be submitted no later than February 23, 2026(3) The contract period will be for one year.
