A Texas cooperative is seeking to implement a comprehensive document management system (DMS) designed to enhance document indexing, searching, version control, and workflow efficiencies. The desired solution should facilitate collaboration and sharing among both internal users and external stakeholders, with robust integration capabilities for existing applications, including the cooperative’s email platform.

The system should seamlessly integrate with a variety of platforms and products, such as Azure Cloud Platform, Microsoft Office, Adobe Sign, iVue Connect, ArcGIS, Human Resources Information System (HRIS), Customer Information System (CIS), Outage Management System (OMS/OSI), SAP SuccessFactors, and mobile applications for iOS. Additional requirements include the ability for seamless import/export of documents to and from Microsoft Outlook/Teams, an enterprise licensing model that supports both full and limited user access, and support for legal case management and contract management activities.

The solution must also offer the capability to import/export document search results and indexes to applications like Microsoft Excel, and provide browsing, searching, and viewing services on web and mobile devices. Native support for file sync and sharing services is required. Importantly, the DMS must have built-in Optical Character Recognition (OCR) capabilities to make PDF and TIFF documents fully searchable, even if they lack a text layer.
