The Ontario Board is seeking a cloud-based project management solution to support the planning, execution, and monitoring of construction and renovation projects across its portfolio. The platform will be used by Facilities Department staff—including Project Managers—and authorized project stakeholders such as consultants, general contractors, and service providers, with collaboration managed through role-based access controls.
Required features include comprehensive project administration tools such as project creation, hierarchical portfolio views, cloud document storage, Microsoft 365 integration, RFx functionality, meeting minute tracking, action item management, and stakeholder notifications. Cost management capabilities must include budget creation, cost tracking, variance monitoring, and workflows for the approval of purchase and change orders, along with robust forecasting and reporting tools. The solution should also provide tools for communication and coordination—such as task tracking, due dates, and progress indicators—as well as centralized document control, versioning, audit trails, and revision numbering for drawings, specifications, photos, and reports.
Compatibility is essential, with the solution requiring a user-friendly, web-based portal accessible on both desktop and mobile devices through modern browsers, and, where available, an associated mobile application. Additionally, both the online portal and mobile app must offer a public-facing interface with all key features accessible in both French and English, including navigation, menus, labels, buttons, help text, and user notifications.
