DESCRIPTION
The selected vendor will provide a cloud-hosted, web-based, and mobile-friendly Computer Maintenance Management System (CMMS) that supports unlimited users and is accessible from Windows, Android, and iOS devices. Essential functionalities required include modules for work orders, preventive maintenance, asset management, inspections, material ordering, reporting, billing, and customer access, ensuring seamless mobile field use.
The CMMS must feature single sign-on (SSO), robust role-based permissions, audit trails, configurable fields and workflows, as well as real-time notifications for technicians, supervisors, and requestors. The implementation should be fully managed in collaboration with the Salt Lake Community College (SLCC) team, covering setup, configuration, testing, validation, and data migration, with preference for vendors able to integrate with institutional systems such as Banner, HR, payroll, finance, and other platforms using APIs, flat files, or other integration methods.
Vendors are expected to deliver a complete project plan detailing milestones, dedicated implementation specialists, product documentation, process flow diagrams, and a fully documented data schema. Full user and administrator training and comprehensive, role-based documentation are also required. The solution must support data conversion and migration from SLCC’s current system, Sprocket, and facilitate integration with all necessary institutional and external data sources.
