The City of Colorado is seeking proposals from qualified vendors to provide a comprehensive asset management software solution and related services for its Community Services Departments, which include Parks, Natural Areas, Recreation, and Arts & Culture. The goal is to implement a hosted system capable of transforming asset and lifecycle management, improving operational efficiency, simplifying data cataloging and inventory tracking, optimizing asset useful life, and delivering critical data and evaluation tools to support budgeting decisions.

The initial implementation is planned for the Natural Areas and Parks Departments, with the potential for future expansion to Recreation and Arts & Culture. The City requires an integrated solution that encompasses asset management—such as the creation of asset inventories, tracking of asset attributes, performance monitoring, condition assessment, and scheduling of preventative maintenance based on asset status and usage. Work management features should enable the creation, assignment, prioritization, and completion of work activities for both assets and non-assets, along with project-level costing and tracking.

The software must also include robust resource management, allowing departments to track labor, equipment, and material costs, support multiple labor rates, and account for equipment usage in diverse ways. Native mobile applications for iPadOS, iOS, and Android are preferred to ensure field staff can efficiently conduct asset inventories, track work requests, and update records on-site. Additionally, the solution should offer standard and configurable reporting capabilities, the ability to create and edit reports, and options to export data for further analysis.
