A Canadian post-secondary education institution is seeking a vendor to provide a cloud-based, Software-as-a-Service (SaaS) travel expense management solution. The platform should be hosted in a secure cloud environment and is expected to feature robust user permissions management, enabling granular security definitions by role, group, or unit.

The solution must include a mobile-friendly web portal accessible based on user roles, capability to view and search information, browser-specific compatibility, and intuitive system interfaces, menus, and dashboards. Key requirements include auto-population of expense claim fields from current databases, per diem rates, and receipts, as well as support for receipt submission via photo, email, or SMS with validation processes.

Additionally, the software should offer AI or predictive analytics features to assist in completing requests and claims, and the ability to identify spending anomalies. Integration with third-party vendors for these advanced analytics features may be required. All vendor questions regarding this RFP are to be submitted no later than April 6, 2026.
