The Ontario ministry is seeking a vendor to provide a robust cloud-based translation and terminology management system. This solution must support a centralized workflow capable of managing high-volume translation requests and advanced terminology management, including a public-facing interface for official terminology usage.
The required platform must be a fully managed Software-as-a-Service (SaaS) offering. It should ensure secure hosting, provide regular updates, and minimize the ministry's internal infrastructure maintenance needs. Essential features include end-to-end workflow management of the translation process—from intake and routing through vendor assignment, file transmission, and final delivery—as well as streamlined interactions between staff and external vendors.
The system should have the capability to integrate with machine translation or AI services, although these must be optional and configurable to be disabled by policy. Secure Single Sign-On (SSO) access for both internal government staff and external translation vendors is mandatory. The platform must facilitate detailed report generation, granular volume tracking, and integrated terminology databases, ensuring the consistent use of official government terms. Vendors are expected to present industry-leading solutions for the design, implementation, and management of modernized translation and terminology case management systems.
Best-fit vendors:
• Experience providing cloud-based translation management solutions
• Expertise with SaaS platforms in government or large enterprises
• Strong background in workflow automation and terminology databases
• Familiarity with SSO integration and secure multi-vendor environments
• Ability to deliver configurable AI/ML translation components
