Seeking a cloud-based SaaS platform for comprehensive policy and procedure management, including document lifecycle, workflow automation, reporting, and integration with Microsoft tools.
(1) Vendor needs to provide cloud–based policy and procedure management solution.– Provide all–inclusive, user–friendly, cloud–based, software as service platform that stores and manages county policies, forms and related documents.– Solution shall support document and policy creation, which includes full lifecycle document management (from draft, review, approval, to publication) as well as automated workflows creation, review, publish, archive, restore, etc.– Solution shall offer robust and advanced search capabilities, reporting, and version control with audit trails to track changes.– Solution shall allow for migration of existing policies, allow administrator to manage and control access based on roles and responsibilities, and support integration with current Microsoft system tools.– System shall allow the incorporation of images in other documents.– System shall store metadata related to user accounts, policies, workflow, and reading and policy views.– Provide a role–based landing page where documents are organized by Policy type and content.– Solution shall allow administrators to manage (create, edit, delete, etc.) user accounts for employees.– System shall allow administrators to assign, un–assign and change roles for users at any time.– System shall allow administrators to manage templates.– Provide a way to copy an existing template and use the copy to create a new template.– Provide customizable document statuses that includes collaboration, review, approval, publication, and archive.– System shall have the ability to save and share custom reports.– System shall provide readership reports with document due dates and overdue notifications.– Ability for user to run report that shows the results for assessments they have taken.– Ability to track and report the date and time stamp for each click and download.(2) All questions must be submitted no later than December 31, 2025.(3) The contract period will be for one year.
