In addition, employees should have access to a secure web portal where they can log in to view and download accurate payslips, P9 forms, and related payroll documents.

The payroll system is required to have robust security measures, allowing only authorized personnel access, and must include secure cloud hosting with high availability and disaster recovery features. It should also maintain a complete audit trail of all payroll-related activities and user actions. Statutory obligations—including NSSF, SHIF, Housing Levy, HELB, and pension contributions—must be computed accurately and in accordance with the latest legal requirements. Furthermore, the solution must adhere to both global and Kenyan data protection standards, ensuring all payroll data is processed, stored, and transmitted securely.
