A Texas school district is seeking a vendor to provide a cloud-based facility scheduling software solution. The proposed system should manage both internal and external reservations, payments, approvals, and service coordination for school campuses, athletic facilities, and stadiums.

Key requirements include a public-facing calendar with real-time availability, online reservation requests for a variety of user types, and digital contracts with e-signature functionality. The software must allow internal users to enter all after-hours events for scheduling and service coordination and support mobile access via a responsive interface or dedicated app. The system should be scalable to accommodate additional campuses and features as needed.

Additionally, vendors should demonstrate experience with secure online payment processing, digital contract workflows, invoice generation, and the upload and management of Certificates of Insurance. The solution should also facilitate issuance of facility use permits, offer flexible self-service reporting, support data integration for interoperability with other systems, and enable Single Sign-On (SSO) for secure access. The contract term will be for one year. Interested parties must submit any questions by January 6, 2025, and a pre-proposal conference is scheduled for December 16, 2025.
