The State of Florida is seeking a qualified vendor to provide a turnkey, cloud-based agenda management system to support Commission meetings, Executive Leadership Team (ELT) sessions, and various board and committee gatherings. The desired solution should deliver a modern, user-friendly, and visually refined platform capable of managing the full agenda lifecycle, including creation, internal review, approval, publishing, live meeting management, and automated production of minutes.

The selected software must streamline internal processes and enhance transparency by offering configurable routing, automated reminders and notifications, and integration with platforms such as Office 365, Outlook, SharePoint, Laserfiche, and other document repositories. High availability, disaster recovery, and robust security frameworks—aligned with CJIS-adjacent standards where applicable—are required. Additional features should include tools for roll calls, motions, votes, action tracking during meetings, as well as post-meeting task tracking and support for website CMS platforms to facilitate public agenda publishing.

The agenda management platform is expected to be configurable to the organization's technical and governance requirements and accessible to a diverse user base. The contract will be awarded for a five-year term.
