Vendor needs to provide cloud–based agenda management system. • Modern, user–friendly, and aesthetically refined Agenda Management Software System to support the full lifecycle of agenda creation, review, approval, publication, meeting management, and minutes production. • The solution will be used primarily for Commission meetings, Executive Leadership Team (ELT) meetings, and various boards and committees, with the expectation that it will streamline internal processes and improve public transparency. • Provider will deliver a turnkey, configurable software platform that aligns with the technical environment, accessibility requirements, and governance processes. • Cloud–based SaaS preferred, with high availability and disaster recovery. • Website CMS platforms for agenda publishing. • Office 365 and Outlook. • SharePoint. • Laserfiche or other document repositories. • Configurable routing for agenda item creation, review, and approval. • Automated reminders and notifications to assigned roles or departments. • Improve efficiency and consistency in creating and routing agenda items. • Tools to manage live meetings, including roll call, motions, votes, and actions. • Automated generation of minutes based on agenda structure. • Follow–up task tracking for post–meeting activities. • Adequate security frameworks aligned with CJIS–adjacent standards where relevant.
