(1) Vendor needs to provide cloud–based agenda and legislative meeting management software.– Provide a modern, cloud–based agenda and legislative meeting management system that enhances operational efficiency, transparency, public engagement. – System must provide agenda management, clerk tools, public engagement tools, public display functionality, hybrid meeting support, automatic minutes, secure cloud hosting, and training and support services. – Includes cloud–based agenda creation, templates, drag–and–drop ordering, workflow approvals, packet creation, supporting document attachments, version history, and audit trails. – Real–time meeting flow control, roll call, motions and seconds, voting display and logging, timestamped notes, timer controls, and automatic minutes generation. – Real–time display of agenda items, votes, motions, speaker queue, public timer, interactive online agenda, and public comment sign–up tools. – Provide implementation, training for clerk and board members, documentation, ongoing support, and defined service–level expectations. – Secure application for electronic roll call, electronic voting, request–to–speak queue, compatibility with tablets, phones and laptops, and synchronized agenda views. (2) All questions must be submitted no later than December 17,2025.
