The client seeks a vendor to provide a comprehensive cheque production and mailing solution. This includes high-quality cheque printing with MICR accuracy and robust security features, as well as automated cheque insertion and stuffing to match envelopes. The solution must also ensure the supply of cheque paper and matching envelopes, which align with corporate branding and Canadian banking standards, and be capable of integrating with the organization’s existing finance or ERP systems for secure, traceable, and efficient cheque issuance. The goal is to enhance operational efficiency by reducing manual handling, errors, and cycle times.

The scope of work involves the supply, delivery, installation, configuration, training, testing, warranty, and support for several components: a MICR-capable cheque printing device with security features, a cheque stuffing/inserter machine (including folding, inserting, and sealing functions), security cheque paper, matching security-tint single window envelopes, and software/drivers for secure printing and queue management. Additional services required include installation, configuration, testing, training, documentation, and support handover.

To maintain high standards of security, the solution must offer role-based access for cheque printing, secure print release mechanisms (such as PIN or badge), secure print queues, lockable media drawers, and controlled access to MICR toner or ink. Audit logs must be available for all cheque prints and reprints. Optional features include encryption at rest or in transit for queued jobs and adherence to physical security guidelines for cheque stock storage.
