(1) Vendor needs to provide case management system design, hosting, maintenance, and support services. • System Design and Configuration:– Customize workflows, data fields, permissions, and reporting templates based on office needs.– Implement user access controls for multiple tiers. • Data Migration:– Migrate all existing case data from the current case management system into the new platform.– Conduct data cleaning and validation in collaboration with the Office to ensure data integrity.– Provide a migration plan including backup and rollback options. • System Testing and Go–Live – Conduct comprehensive system testing, including user acceptance testing.– Resolve bugs and make adjustments prior to official launch.– Support system go–live with close coordination and real–time support during the launch window. • Training and Knowledge Transfer:– Deliver tailored training for users holding different user rights.– Provide user manuals, quick reference guides, and training recordings.– Offer live training sessions (virtual or in–person) and ongoing support during the rollout period. (2) The contract period will be for three years.
