SUMMARY

The district seeks a provider for asset management software, including full implementation, integration, and ongoing maintenance to optimize maintenance processes and asset lifecycle management.

KEY REQUIREMENTS

Must have successfully functioned as a Project Manager on at least two similar projects involving CMMS implementation, configuration, and integration.
At least one of the two similar projects must be for a water or wastewater utility.
Project team must demonstrate experience with CMMS implementation, configuration, and integration following an asset management strategy.
Must provide six hard-copies and one digital copy of the proposal.
Proposal must not exceed ten pages in length (excluding resumes, sample drawings, and references).
Must be able to provide in-person presentation if selected as one of the top three firms.
Must provide proof of professional errors and omissions liability insurance and general commercial liability insurance with a limit of $500,000 per claim and $1,000,000 aggregate.

DESCRIPTION

The selected vendor will provide, implement, and support a comprehensive Computerized Maintenance Management Software (CMMS) to improve asset tracking, maintenance, and overall operational efficiency. Responsibilities include offering end-to-end support and consultation throughout all project phases, including discovery, analysis, system configuration, data conversion and migration, system testing, user training, and ongoing support.

The project requires the development of a centralized asset registry, lifecycle tracking, and enhanced preventative and predictive maintenance processes. Additional features include streamlined work order management, mobile access for field technicians, integration with ESRI ArcGIS, inventory control, real-time dashboard and KPI reporting, regulatory compliance tracking, and improved asset uptime with reduced maintenance costs.

Vendors are expected to conduct thorough project management, including coordination, scheduling, reporting, and risk management. The implementation will involve analysis, installation and configuration of the software, system testing, and comprehensive data conversion activities such as data mapping, development of conversion specifications, testing, data clean-up, and multiple conversion stages. The new solution must integrate seamlessly with existing district systems to enable smooth data exchange.
