Vendor needs to provide agenda management system– The Agency is seeking proposals from qualified vendors to provide a comprehensive Agenda Management System (AMS) to replace the existing OnBase solution– This system will support the agency and Executive Assistants in preparing, managing, and publishing agendas and minutes for Council and Committee meetings.– The AMS will ensure continuity of legislative processes, improve efficiency, and enable the decommissioning of OnBase– The selected solution will provide a secure, user–friendly platform for agenda creation, meeting management, and public access to agendas and minutes– The AMS must include customizable templates, workflow automation, and integration with the agency identity management systems. Project Deliverables: System Implementation, Data Migration, Security & Compliance. System Requirements/Specifications: Agenda Creation & Editing, Role Based Access Control, Meeting and Scheduling Integration with external website Calendar, Version Control & Audit Trails, Search and Filter Functionality – all documentation, Secure Doc Storage, Public Portal/Accessibility Compliance, Templates (both custom and system provided), Customizable Approval Workflow, Real-Time Collaboration. The contract period will be for two years.
